Why gyms switch

THE COMPLAINTS WE BUILT AGAINST

Every card below is a thing gym owners say about the software they are leaving. The answer underneath is how BattersOps handles it.

Support

“We waited two days for an answer — mid-week, mid-problem.”

You message the people who write the code, and they can open your gym to answer. No ticket queue, no offshore script.

Contracts

“The price went up mid-contract and leaving costs a fee.”

Month to month at the price on this page. No setup fee, no exit fee, no annual lock-in to negotiate your way out of.

Your data

“They wanted to charge us to export our own data.”

One-click CSV export of members, leads, payments and attendance. Free, whenever you want, including on your way out.

Interface

“It looks like it was built in 1999 and takes six clicks.”

The screenshots on this page are the actual product. Same design language end to end, built for a busy front desk.

Billing

“A failed card just quietly stopped paying us for months.”

Failed payments open a recovery record with scheduled retries, staff alerts, and a self-serve way for the member to fix it.

Bookings

“Booking a cage, a coach and a player is three separate screens.”

One flow books a cage, a coach and a hitter together — and shows up on the TV schedule, the front-desk kanban and the coach's phone.

THEY WALK IN.
THEY'RE CHECKED IN.

Members opt in once at the desk. After that the kiosk recognizes them as they walk past, ties the visit to the right class, and updates attendance, streaks and leaderboards without anyone touching a keyboard.

  • Matching runs in the browser against your gym's enrolled members
  • Name search and PIN stay available — nobody gets stuck at the door
  • Works on a tablet, laptop or Fire tablet with a webcam
  • Opt-in per member, and removable at any time

In-gym experience

YOUR TVs, DOING SOMETHING USEFUL

Plug a Fire TV or Roku into any screen, pair it with a code, and run a cage-schedule board, a leaderboard or signage. Every screen is set up separately, so the cage-side TV can run the schedule while the lobby plays your summer-camp promo — all changed from the office.

BattersOps gym timer on a TV showing large countdown digits

Gym timer

Set your own round and rest lengths, pick which modes the coaches can reach, and drop your logo in the middle. Clock, intervals and custom countdowns, driven from the TV remote.

BattersOps leaderboard on a TV ranking members by classes attended

Leaderboards

Attendance and streak rankings that rotate automatically — you choose the boards, the row count and which columns show. Nothing drives consistency like being on the board.

BattersOps digital signage on a TV promoting a clinic

Digital signage

Promote a clinic, a summer camp or league sign-ups — images, video and announcements on a loop, alongside tonight's cage schedule. Update it from the office; the screen follows.

Same timer · your brand

ONE TIMER, EVERY GYM'S LOOK

A solid background colour or a full-screen photo, your text colour, and your logo in the middle — set per screen. Two real schools, the same app.

The daily work

ONE SYSTEM FOR THE WHOLE SCHOOL

Sales, students and money — the three things that decide whether the gym grows.

Sales pipeline

Leads that get worked, not warehoused

Drag-drop pipeline from first inquiry to signed member. Auto-assignment by source, round-robin or percentage split. Follow-up tasks generate themselves on a cadence you set, and log automatically when the call or text goes out.

  • Web forms capture straight into the pipeline
  • Trial templates with class-count or date limits
  • Activity history on every lead
  • At-risk + untouched-lead surfacing

Players & families

One profile that actually knows the player

Age group, plan, payment state, attendance streak, documents, family links and conversation history on one screen. Family accounts roll siblings onto one bill; the front desk sees who is in the cage, who is with which coach, and who owes what.

  • Multi-resource bookings (cage + coach + hitter) as first-class objects
  • Family / household accounts and sibling billing
  • E-signed waivers stored on the profile
  • Attendance history and streaks

Money

Billing, POS and recovery in one ledger

Authorize.net or Stripe, cards on file, subscriptions, manual cash and check payments, and a POS with inventory, discounts, tax, receipt printing and a USB cash drawer. Every transaction ties back to the member who made it.

  • Authorize.net and Stripe both supported
  • Failed-payment recovery with scheduled retries
  • POS + inventory + cash drawer
  • Per-role financial visibility

AND THE REST OF IT

The unglamorous features that decide whether software survives contact with a busy evening.

Cage & class scheduling

Recurring lessons, cage rentals, team practices, birthday parties, waitlists and bookings from the member app.

Analytics

MRR, ARPU, LTV, churn, lead conversion, attendance heatmaps and plan mix — not vanity charts.

Automations

Triggers, delays and branches that send email or SMS, assign tasks, open documents or hit a webhook.

Email & SMS

Segmented broadcasts, two-way SMS with STOP/START handling, templates and delivery tracking.

Member app

Installable PWA: schedule, bookings, billing, attendance, rewards, chat and web push notifications.

E-sign waivers

Send, sign and store waivers and policies. Kiosk can require a signed waiver before first check-in.

Staff & timeclock

Roles, permissions, shifts, clock-in, tasks, and gamified XP with leaderboards for your sales floor.

Website builder

A public site for the gym with schedule, team bios, gallery and lead capture wired to the pipeline.

AI assistant

Ask questions about your gym in plain English, and import an existing schedule from a screenshot.

Integrations

Zapier, Slack and Mailchimp, plus CSV export of everything. Your data leaves as easily as it arrived.

Audit + privacy

Settings audit log, per-role module access and financial visibility toggles for multi-staff gyms.

Leagues

Schedule teams into your facility across a season, track standings and roll league fees into the same billing.

Support

WHEN SOMETHING BREAKS AT 6PM,
YOU GET A HUMAN

Not a ticket queue, not a chatbot, not an offshore script. You message the team that writes the code, they can open your actual gym to see the problem, and you hear back while it still matters — not three business days later.

Questions

STRAIGHT ANSWERS

Is the facial recognition actually built in?

Yes. Face descriptors are computed in the browser and matched against the members enrolled at your gym — there is no per-reader subscription and no third-party biometric vendor. Enrollment is opt-in per member, and name search and PIN always remain available as fallbacks. It is included on the Pro tier.

What do the TV apps run on?

Any Fire TV or Roku, or any browser you can point at a screen. Pair the device once with an on-screen code, then switch it between gym timer, member leaderboards and digital signage from Settings → TV Apps. The timer has clock, round/rest interval and custom countdown modes.

What hardware do I need for check-in?

A tablet, laptop or PC with a webcam. The kiosk is an installable web app, so an inexpensive Android tablet at the door is enough. There is also a native Android build for Fire tablets.

Can I bring my existing gym across?

Yes — CSV import for members, leads, plans and classes, plus an AI schedule import that reads a screenshot of your current schedule. We have migrated a live 500-member school onto BattersOps, including historical attendance and billing.

Which payment processors do you support?

Authorize.net and Stripe. Connect your own account and the money goes straight to you — BattersOps handles subscriptions, cards on file, manual payments, receipts and failed-payment recovery on top.

Is there a contract?

No. Month to month, and you can export members, leads, payments and attendance to CSV whenever you want. Your data is yours.

Who actually builds this?

A small team that trains. BattersOps runs every day at a real jiu-jitsu school, and most features exist because something broke on the mat and needed fixing. That is also why support answers fast — you are talking to the people who write the code.
